Privacy Policy

How we handle your data across our website, services and business communications.

Effective and last updated: 10 October 2026

For access, correction or deletion requests, email hello@intellzia.sa. To stop WhatsApp marketing, reply STOP or إيقاف.

1. Who we are and what this policy covers

Intellzia Solutions LLC ("Intellzia", "we", "us") provides business software, AI automation, implementation, advisory and support services. This policy explains how we handle personal data through intellzia.sa, enquiries, recruitment, business relationships, our applications and our WhatsApp Business communications.

For our website and our own business communications, Intellzia is responsible for deciding how and why personal data is processed. When we process records within a customer’s software environment on that customer’s instructions, the customer generally determines the purposes of processing and its own privacy notice also applies. The applicable service agreement governs that processing.

2. Personal data we collect

Depending on how you interact with us, we may collect:

  • Contact and enquiry information: name, email address, telephone number, company, country, requested services and information you submit in forms, email or chat.
  • WhatsApp information: your phone number or messaging identifier, profile name where available, messages, attachments, timestamps and delivery or interaction information made available through WhatsApp Business.
  • Account and service information: user details, access permissions, support requests, billing information and business records that you or an authorised customer provides through our services.
  • Recruitment and partnership information: applications, CVs, qualifications and business details submitted to us.
  • Technical and usage information: IP address, browser and device information, pages visited, referral information, interaction events and diagnostic or security logs.

We collect data directly from you, automatically through our website and services, or from an authorised customer, business contact or connected service. Please provide only information necessary for your request. Do not send passwords, full payment-card numbers or sensitive identity or health records through public chat or WhatsApp.

3. Why we use personal data

We use relevant data to respond to enquiries; prepare demonstrations and proposals; deliver, administer and support services; manage accounts and business relationships; process applications; maintain security and investigate misuse; analyse website performance; and meet legal or contractual obligations. Where permitted and with any required consent, we may send relevant product updates or marketing communications. Providing requested information is voluntary, but missing essential contact, account or service details may prevent us from responding or delivering a service.

4. Legal grounds and consent

Where applicable data protection law requires a legal basis, we rely on consent, an agreement with you, legal obligations, or another permitted basis such as legitimate interests where its conditions are met. We do not treat simply visiting this website as consent to every form of processing. Where processing depends on consent, you may withdraw that consent by contacting us. Withdrawal does not affect processing already lawfully carried out; other permitted grounds may still apply to records we must retain.

5. WhatsApp Business and AI-assisted communications

We use WhatsApp Business to respond to enquiries and provide business communications. Where enabled, automated workflows and AI services may process relevant message content to classify an enquiry, prepare a response or route it to our team. You can request human assistance through WhatsApp or by emailing hello@intellzia.sa.

WhatsApp communications involve Meta/WhatsApp infrastructure and are also subject to their terms and privacy notices. We use information received through WhatsApp for the relevant communication and service purposes. We obtain any required permission before sending proactive marketing messages. To stop marketing messages, reply STOP or إيقاف, or email us. A support conversation does not automatically subscribe you to marketing.

Website chat and enabled AI features may send the content needed to answer your request to an AI service provider, including OpenAI where configured. Avoid entering unnecessary confidential or sensitive data. AI outputs may be inaccurate and should be checked before use.

6. Cookies, local storage and Google Analytics

Our website uses browser storage for functions such as remembering language preferences. It also includes Google Analytics 4 (measurement ID G-500MQTHLXD) to help understand website traffic and interactions. Analytics may use cookies or similar technologies and process technical and usage information through Google.

You can manage cookies and clear stored preferences through your browser settings. Google also provides an Analytics opt-out browser add-on. Blocking cookies or storage may affect some website functions. Where consent is required for non-essential technologies, it must be obtained before those technologies operate. See Google’s privacy policy for its own data practices.

7. When we share data

We may share the minimum relevant data with authorised team members and providers supporting hosting, email, analytics, messaging, AI processing, payments or customer support, as needed for the stated purpose. Providers must be subject to appropriate obligations for their role. We may also disclose data where lawfully required by authorities, necessary to establish or defend legal claims, or in a business reorganisation subject to applicable safeguards. We do not sell personal data or share one customer’s private chat with another customer.

8. International processing

Depending on the service, authorised personnel and service providers may process data in Saudi Arabia, Pakistan or other countries. Hosting and processing locations can differ between customer deployments and third-party platforms. Where a transfer outside Saudi Arabia or another relevant jurisdiction is involved, we must meet applicable transfer requirements and use appropriate safeguards. Contact us for information about the arrangements relevant to your service; this policy does not promise that all data stays in one country.

9. Retention and deletion

We retain personal data only for as long as necessary for the stated purposes, the relevant customer agreement, or applicable legal requirements. Enquiry and support records are retained according to their ongoing business need; account records follow the service lifecycle; and records required for tax, accounting or legal claims may need longer retention. When data is no longer needed, it should be securely deleted or anonymised. Backup copies may remain until their normal replacement cycle, with access restricted and no further routine use.

10. Security

We apply technical and organisational safeguards appropriate to the information and service, including access restrictions and protection of systems and communications. Security measures and deployment options depend on the service agreement. No online system can guarantee absolute security. If you suspect unauthorised access or a data incident involving our services, contact us promptly. We handle incident assessment and any required notifications under applicable law.

11. Your rights and how to request deletion

Subject to applicable law and its exceptions, you may request information about processing, access to your personal data, a copy in a readable format, correction of inaccurate data, destruction or deletion of data no longer required, and withdrawal of consent where applicable. Other rights may apply in your jurisdiction.

Send requests to hello@intellzia.sa with the subject Privacy or data deletion request. Identify the relevant account, email or WhatsApp number and describe your request. We may ask for proportionate information to verify your identity and will respond within the applicable statutory period. Do not email identity documents unless specifically requested through an appropriate secure method.

If your data is held in a customer-managed application, contact that customer first; we will assist as required by our role. We will explain any lawful reason preventing full deletion. You may also raise a complaint with the competent data protection authority, including SDAIA for Saudi PDPL matters, through its Personal Data Protection Platform.

For WhatsApp integration requests, see our Data Deletion Instructions and Terms of Service.

12. Children and third-party links

Our business website and enquiry channels are intended for adults acting in a business or professional capacity. We do not intentionally collect children’s personal data through these channels. If you believe a child has provided data, contact us. External sites and third-party services linked from our website have their own privacy notices.

13. Updates to this policy

We may update this policy to reflect changes in services, processing or legal requirements. The updated version will show its revision date. Where required, we will provide additional notice or obtain new consent for material changes. Changes do not remove rights that apply to data already collected.
